Job Description

The Office of Institutional Equity and Diversity has a range of high-level strategic responsibilities that impact the entire institution. This position is responsible for providing critical, high-level administrative support to the Vice President for Institutional Equity and Diversity.  The comprehensive responsibility is to assist the VP in administrative functions. The incumbent manages the VP calendar and scheduling; coordinates meeting preparation, including gathering and preparing meeting materials; staffs all boards, councils, and committees; assists with special projects and events; manages the department UFunds portal; and answers the main phone line and e-mail address for the office. The incumbent provides timely ongoing management of the electronic and paper file system; proactively and perceptively organizes the VP’s schedule and calendar; and assists in supporting the overall effective management of OIED. The incumbent works collaboratively with other colleagues to ensure that the administrative needs of the VP and general office management are met in a professional, prioritized, thoughtful and timely manner.


Bachelor’s Degree and 2-3 years of supporting an executive or related experience, or equivalent combination of education/experience.

Higher education experience preferred.

Computing proficiency with strong knowledge of Microsoft Office software programs, including Word, Excel, and PowerPoint.

Advanced knowledge of Google calendar management and Google document management, including Google drive and Google sites.

Exceptional oral and written communication skills with the ability to effectively support and serve a diverse population.

Demonstrated commitment to diversity and inclusion and desire to support individuals from historically underrepresented groups and other protected classes.

Exhibited high-level of discretion, confidentiality, attention to detail and the ability to take initiative in problem-solving.

Extremely high level of planning and organizational skills with a strong customer service orientation.

Close attention to detail as well as the big picture.

The incumbent must possess diplomacy, sound judgment, and initiative.

Ability to work independently and collaboratively to ensure effective management of all office functions.

Ability to learn new processes with minimum supervision.

Strong interpersonal skills in order to work successfully with colleagues and represent OIED with professionalism and capacity to successfully engage and support a diverse community of students, faculty, staff, guests, among others.

Capacity to multi-task, keep calm under pressure, prioritize and confidence to seek assistance/guidance when needed.
