ESSENTIAL FUNCTIONS:
Answers the telephone line, transfers calls and greets clients, collects co-payments, schedules appointments, verifies insurance, and tracks authorizations. Able to assist the intake department when necessary. Able to float between multiple sites. Flexible schedule to include evening hours when needed.


SPECIFIC DUTIES/RESPONSIBILITIES:

Responsible for opening/closing the office and providing front desk coverage.
Checks clients in and out, including scheduling and canceling appointments.
Addresses and collects co-payments.
Answers multi-line phone system and relays messages to appropriate parties.
Prints schedules for following day to verify insurances for all scheduled clients for Outpatient and APRI.
Notifies Clinician/Doctor/Office Manager/Clinical Administrator of any issues related to insurance and appointments.
Actively participates in tracking authorizations to ensure reimbursement.
Checks authorization status for all clients, begins completion of authorization form, notifies clinician and supervisor that authorization is needed.
Enters completed authorization forms into insurance payers website.
Calls all clients to confirm next day appointments.
Notifies clinicians of their next day schedules by email and phone.
Retrieves messages from Multi-line phone system, including completing medication refill request forms.
Schedules Psychiatric Evaluations for MDs/PCNS.
Maintains program policies, procedures, and protocols for governing bodies including but not limited to the Department of Health and COA.
Assists with program-specific duties in coordination with Office Manager.
Complete new client information packets.
Complete requests from insurance companies for clients to be transported to appointments.
Complete requests from insurance companies for interpreting services.
Fax requests made by MDs/PCNs.
Provide coverage when home-based support is out, verifying insurances and authorizations
Triage calls for clients who are in distress to ensure they are connected to the appropriate department.
Assist clients with voter registration as required by FSRI license.
Attend supervision and staff meetings.

QUALIFICATIONS:

Bachelor’s level education or equivalent experience.
3+ years of Medical Office experience preferred.
Bilingual (Spanish) required.
In-depth knowledge of third party payers.
Outstanding communication skills: written, verbal and presentation skills required.
Excellent computer skills, to include: Microsoft Word, Excel, Access, and Outlook are required.
Ability to travel to various locations if necessary.
Possession of a valid driver’s license, reliable transportation and proof of auto insurance is required.


PHYSICAL REQUIREMENTS:

Physically able to perform duties of the job.
Ability to lift up to 20 lbs.
Ability to communicate effectively.
